Affiliate Member Status
Affiliate Lead Conversion
Once a lead for the OSI Affiliate Program has been identified, please undertake the following steps;
(NOTE: if you do not wish to compete the following, please send a email introducing the OSI General Manager to the prospective affiliate organization and prospective affiliate contact/representative).
- Before adding any new information (individuals or organizations), please review the table below as we may already have contacts with the person or organization.
- Create a "Contact" in CiviCRM.
- Log into CiviCM (https://opensource.org/user/)
You will need your OSI Drupal account credentials - Before creating a new contact for the organization, or the person you are working with from the organization, please search to see if an existing record exists. Individuals may have multiple relationships with the OSI. For example, they may be an Individual Member, and then later reach out as part of a potential Affiliate Member.
You may enter the email, or name for the individual in the "Search" field at the top of the CiviCRM page.
You may enter the name of the organization in the "Search" field at the top of the CiviCRM page.- If a record already exists for the individual, please update it with any information related to the organization they are representing. For example, your contact may have a personal email for their Individual Membership, but use their organizational email for Affiliate Member related communications.
- Also, please create a "Relationship" between the individual and the organization.
- To create a relationship, co to the individual's record.
- Select the "Relationship" tab.
- Click "Add Relationship" button.
- Choose "Relationship Type" ("Employee of").
- Add "Contact(s)"--this may update with the organization's name if an existing contact if already in CiviCRM.
- Click "Save Relationship" button (no other information is needed).
- Also, please create a "Relationship" between the individual and the organization.
- If a record already exists for the organization, please create a "relationship" between the individual and organization.
- Go to the organizational record, e.g. KDE.
- Select the "Relationship" tab.
- Click "Add Relationship" button.
- Choose "Relationship Type" ("Employee of").
- Add "Contact(s)"--this may update with the name of an existing contact if already in CiviCRM
- Click "Save Relationship" button (no other information is needed).
- If a record does not exist for the new individual, you may add one.
- Select "Contacts" -> "New Individual" from the CiviCRM menu.
- Enter as much information as you may have about the individual (be sure to add any relationships), but specifically we must have...
- Email address for the individual.
- Under the "Relationships" tab add the individual to the relevant organization (use "Add relationship" button).
- Under the "Groups" tab, choose "Affiliate Prospect", "All Contacts", and "Announcements (very low volume)" from the "Add add to a group" menu.
- Under the "Tags" tab, check, "Perspective Affiliate Rep." and "Perspective Affiliate"
- Click, "Save".
- If a record does not exist for the new organization, you may add one.
- Select "Contacts" -> "New Organization" from the CiviCRM menu .
- Enter as much information as you may have about the organization (be sure to add any relationships).
- Email address for the organization (not the individual you know. This will ensure we have some contact with the org.
- Under the "Relationships" tab add the organization represented by the individual (use "Add relationship" button).
- Under the "Groups" tab, choose, "Affiliate Prospect", "All Contacts", and "Announcements (very low volume)" from the "Add add to a group" menu.
- Under the "Tags" tab, check, "Perspective Affiliate".
- Click, "Save".
- If a record already exists for the individual, please update it with any information related to the organization they are representing. For example, your contact may have a personal email for their Individual Membership, but use their organizational email for Affiliate Member related communications.
- Log into CiviCM (https://opensource.org/user/)
- Add details to the table below.
- Organizational Name - obvious
- Notes - obvious
- OSI Initial Contact - person who generated the lead
- Contact / Rep. Information - link to relevant CiviCRM Pages
- Status - Choose from,
- Prospect: initial discussions, no application submitted.
- Links to application materials
- If the prospect has submitted the required applications, attach those to this wiki page, and add links to:
- The Cover Letter.
- Affiliate Agreement
- Supporting Documentation (e.g. qualifications)

- Invite the individual representative of the organization to complete the Affiliate Member Application.
- Go to the CiviCRM record for your organizational contact.
- Select, "Actions" -> "Send an Email" (new window pops up).
- Select, "Patrick Masson <ma[email protected]> Main (preferred)" from the "From" field.
- Click the "BCC" field and add Patrick Masson's email there as well (this ensures I see the email in my inbox).
- Select, "Affiliate Member Inquiry" from the "Template" options in the email window.
NOTE: CiviCRM uses "tokens" to individualize communications. You must be sure that these attributes are included in the record of the individual you are emailing or they will be left blank and the email will not read correctly. These tokens include:- "{contact.first_name}" = the first name of the contact much be in the individual's record.
- "{contact.current_employer}" = the individual you are contacting must have the organization listed in their record in the "Employer" field under the "Summery" tab.
- Click, "Send Email"
